Our Data Policy

1. Introduction

Select Homes is committed to processing data in accordance with its responsibilities under the UK General Data Protection Regulation (UK GDPR).

2. Scope

This policy applies to all personal data processed by Select Homes and is part of the company’s approach to compliance with data protection law. All staff must be familiar with this policy and comply with its terms.

3. Principles

Select Homes shall ensure that personal data is:

3.1. Processed lawfully, fairly, and transparently;

3.2. Collected for specified, explicit, and legitimate purposes and not further processed in a manner that is incompatible with those purposes;

3.3. Adequate, relevant, and limited to what is necessary in relation to the purposes for which it is processed;

3.4. Accurate and, where necessary, kept up to date;

3.5. Kept in a form which permits identification of data subjects for no longer than is necessary;

3.6. Processed in a manner that ensures appropriate security of the personal data, including protection against unauthorised or unlawful processing, accidental loss, destruction, or damage using appropriate technical or organisational measures.

4. Lawful, fair, and transparent processing

4.1. Individuals have the right to access their personal data and any such requests made to Select Homes shall be dealt with in a timely manner.

4.2. Select Homes shall maintain a record of all processing activities in line with the requirements of the UK GDPR.

5. Lawful purposes

5.1. All data processed by Select Homes must be done on one of the following lawful bases: consent, contract, legal obligation, vital interests, public task, or legitimate interests.

5.2. Select Homes shall note the appropriate lawful basis in the Record of Processing Activities.

5.3. Where consent is relied upon as a lawful basis for processing data, evidence of opt-in consent shall be kept with the personal data.

5.4. Where communications are sent to individuals based on their consent, the option for the individual to revoke their consent shall be clearly available and systems should be in place to ensure such revocation is reflected accurately in Select Homes’ systems.

6. Data minimisation

Select Homes shall ensure that personal data is adequate, relevant, and limited to what is necessary in relation to the purposes for which they are processed.

7. Accuracy

Select Homes shall take reasonable steps to ensure personal data is accurate and kept up to date where necessary. Every reasonable step must be taken to ensure that inaccurate personal data is either erased or rectified without delay.

8. Archiving / removal

Select Homes shall ensure that personal data is kept for no longer than necessary. The company shall put in place appropriate archiving policies to ensure personal data is reviewed periodically and securely deleted when no longer required.

9. Breach

In the event of a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data, Select Homes shall promptly assess the risk to individuals’ rights and freedoms and follow the Data Breach Response and Notification Procedure, complete the Data Breach Register, and notify the affected Data Subjects as required.
